123 Hire is a trading name for Avari Events Limited.
123 Hire – Terms & Conditions
1. Introduction
These Terms of Service (“Terms”) govern the hire of equipment from 123 Hire (“we”, “us”, “our”). By placing a booking, paying in full, or taking possession of equipment, you (“the Hirer”) agree to be bound by these Terms.
If you do not agree, you must not proceed with any hire.
2. Definitions
- Hirer: The individual, business, or organisation hiring equipment.
- Equipment: Any item, accessory, or goods supplied by 123 Hire for hire.
- Dry Hire: Collection and return of Equipment by the Hirer without 123 Hire staff.
- Hire Period: The time from when Equipment is collected or delivered until it is returned and inspected.
- Rental Fee: The agreed hire cost, excluding additional charges.
3. Nature of Our Service
123 Hire provides dry hire only (collection and return by the client). We do not provide setup, installation, event management, or operational services.
Any assistance provided by 123 Hire is limited strictly to providing the Equipment at the agreed collection point.
4. Booking & Payment
- All bookings must be made online or in writing.
- Full payment is required at the time of booking. Items are not held or reserved until payment is received.
- All prices are in GBP (£).
5. Cancellation
- Cancellations must be made in writing.
- Cancellations made more than 14 days prior to the hire date will receive a full refund.
- Cancellations made within 14 days of the hire date are non-refundable.
6. Collection & Return
- The Hirer is responsible for collecting and returning Equipment within the agreed time window.
- Failure to return items on time may result in additional storage fees of £50 per day or part thereof.
- Equipment must be returned in the same condition as received, excluding fair wear and tear.
- We recommend that the Hirer inspects Equipment on collection to confirm condition.
7. Risk, Loss & Damage
- Risk passes to the Hirer on collection or delivery.
- The Hirer is responsible for loss, theft, or damage of Equipment during the hire period.
- Costs for repair or replacement will be charged at full replacement value.
7.1 Penalty Schedule – Loss, Damage & Non-Return (the below is a guide and 123 Hire retains the right to adjust or amend any charges on a case-by-case basis)

Notes:
- All charges are in addition to the hire fee.
- Invoices must be settled within 14 days of issue.
- Partial losses (e.g., missing parts) will be charged at cost.
- Fair wear and tear may still incur additional charges if damage exceeds normal use.
8. Insurance
The Hirer must maintain adequate insurance covering:
- Loss or damage to Equipment
- Public liability
Proof of insurance may be requested before collection.
9. Health & Safety
- The Hirer is responsible for safe handling and use of all Equipment.
- Adequate space, power supply, and working conditions must be provided.
- The Hirer must comply with all applicable health and safety regulations.
10. Venue Restrictions
- The Hirer must inform us of any venue restrictions (e.g., no stapling, restricted access).
- 123 Hire is not liable for issues caused by undisclosed restrictions.
11. Data Protection & Privacy
- We collect personal data necessary for booking and hire.
- Data is stored securely, not sold, and retained only as required.
- We comply with UK GDPR and the Data Protection Act 2018.
12. Complaints
- Complaints must be submitted in writing within 7 days of the hire period.
- Include your booking reference and full details.
- Complaints will be acknowledged within 5 working days and resolved within 14 working days.
13. Limitation of Liability
- Our total liability is limited to the Rental Fee paid.
- We are not liable for:
- Loss of profits, business, or revenue
- Event cancellation costs
- Indirect or consequential losses
14. Indemnity
The Hirer agrees to indemnify 123 Hire against all claims, losses, damages, and costs arising from:
- Use or misuse of Equipment
- Breach of these Terms
- Third-party claims during the hire period
15. Amendments
We may update these Terms at any time. The latest version published on our website applies.
16. Governing Law
These Terms are governed by the laws of England and Wales, and disputes fall under the exclusive jurisdiction of the courts of England and Wales.
